Student Services Administrative Assistant ensures smooth and efficient operation of the student services office and sets daily office priorities based on knowledge of the overall function of the office and performs work as required or assigned.

 

QUALIFICATIONS:

  1. Education and experience equivalent to high school graduation
  2. Excellent organization skills, competent with Microsoft Office programs
  3. Knowledge of special education timeline requirements
  4. High propensity for positive interpersonal relations

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Understanding that the role of the Assistant Superintendent of Student Services is a confidential position, the Administrative Assistant for Student Services will provide office support in all areas under the purview of the Assistant Superintendent for Student Services.  

  1. Assume general and specific clerical duties
  2. Word Processing, database, spreadsheet software programs and maintains working knowledge or familiarity with all district technologies
  3. Be knowledgeable of the rules and policies of the Board of Education, Administrative procedures and negotiated agreement with the teacher’s union
  4. Attend workshops, in-services to improve, maintain current skills and learn new technologies as necessary
  5. Maintain high level of ethical behavior and confidentiality of all staff and student information
  6. Plans, initiates, and carries to completion, clerical, secretarial and administrative activities related to the operation of the student services programs
  7. Coordinate, create and updates all Notification of Conference invites
  8. Coordinates the scheduling appointments for special education meetings through Outlook calendar
  9. Creates and submits monthly Board of Education enrollment report
  10. Coordinates all Special Education Transportation
  11. Manages AERO referrals
  12. Manages special education student enrollment in Power School and Embrace
  13. Records Clerk
  14. Creates and coordinates all I-STAR State Reporting
  15. Collaborates with district registrar and building administration on new student enrollment and transfers
  16. Assist School Psychologist with scheduling, tri-annual due dates and protocols
  17. Manages hiring of bilingual psychologists and speech-language pathologists when needed
  18. Manages digital IEP records management
  19. Creates and manages caseloads in Embrace
  20. Hires and manages interpreters for IEP meetings
  21. Manages in collaboration with business department Medicaid billing and reimbursements
  22. Manages special education records for graduates to the high school
  23. Manages in collaboration with business department invoices, purchase orders etc.
  24. Other duties as assigned

  2. Ability to exercise tact, good judgment, and initiative in dealing with students, faculty, and the public
  3. Skill in operating microcomputers, word processors and peripheral equipment
  4. Ability to communicate clearly and concisely, both orally and in writing including clear, polite telephone communication skills
  5. Ability to work efficiently under minimum supervision
  6. Ability to identify sensitive information and maintain confidentiality

The individual(s) currently holding this position perform additional duties and additional duties may be assigned.  There will be an annual performance evaluation for this position.

 

Salary:

  • Salary per the Collective Bargaining Agreement
